[EP-tech] Question about "request a copy" option in eprints

CAUTION: This e-mail originated outside the University of Southampton.

Hi David,

Please, accept my apologies for the delayed response. I meant to get back to you sooner and only just realised that I never replied.

Many thanks for taking the time to consider my query.

I find it very useful that you make clear the three requirements for the "Request a copy" option. I have double checked many times the records that appeared to have this issue to eliminate the possibility of any wrongful selection caused by mistake.
I did not take into account, though, that the last couple of months the Repository has been down for several hours and called on the University IT Services to restore the access, which is what they did. I assume that this was the cause of the problem and after the repeated reboots the system came back to normal. Probably that is the reason you did not find any issue related to my question when you checked our records.

So, the datafiles access options are back in order now - hopefully, the system will remain accessible and we will not experience similar incidents.

Again, many thanks for your help.

Best wishes,

Angeliki

Hi Angeliki,

I had a quick look at what I assume is the repository in question (edata.bham.ac.uk) and specifically at:

https://eur03.safelinks.protection.outlook.com/?url=https%3A%2F%2Fedata.bham.ac.uk%2F705%2F&data=04%7C01%7Ceprints-tech%40ecs.soton.ac.uk%7C08f282a01593462d1c6d08d97ebc21f7%7C4a5378f929f44d3ebe89669d03ada9d8%7C0%7C0%7C637680170532600661%7CUnknown%7CTWFpbGZsb3d8eyJWIjoiMC4wLjAwMDAiLCJQIjoiV2luMzIiLCJBTiI6Ik1haWwiLCJXVCI6Mn0%3D%7C2000&sdata=%2BZpMSM4xMmjavMQChdsYMebXXBbZxnXVyiJN9uXN5ws%3D&reserved=0

This seems to meet your criteria of having open access documents/files. I cannot see a "Request a copy" button on this page but I can see a "Copy" button that looks to copy the citation for the item to your local clipboard (like Ctrl+C when the citation is highlighted). Specifically in this case:

Clark, Janine (2021) Research data supporting 'A comparative study of resilience in survivors of conflict-related sexual violence: New directions for transitional justice'.

I can see how there is potential for confusion between two buttons that both include the word "Copy" but maybe I am not looking at a suitable example, where this is happening. The default behaviour for "Request a copy" usually requires 3 elements:

1. The item has attached documents (often data files in the case of research data repositories).

2. Those documents/files are not public.

3. The contact email address for the item is set with a valid email address.

It is possible that if you are see "Request a copy" on items that have unrestricted documents/files, the second of these requirements has been removed, most likely by accident.

Regards

David Newman

Hello all,

I noticed lately in our data repository that the data files under the selected Access option: Open, appear with the "Request a copy" indication set up by default. Given that the selected access is "Open", that request should not be the case - it makes sense for restricted or closed but not for open.

Could you please help with this query? Any thoughts or comments will be very much appreciated.

Many thanks,

Angeliki
